The Urban Fox Networks products, (the Website) and Urban Fox Networks mobile application (the Urban Fox Networks App) (together with the Website form the Urban Fox Networks Platforms) are operated by Urban Fox Networks (UK) Limited (”we” or “our” or “us”).

We are registered in England and Wales. Our company registration number is 14708495 and our registered address is Q14 Quorum Business Park, Benton Lane, Newcastle Upon Tyne, England, NE12 8BU.

When you use Urban Fox Networks products, the Urban Fox Networks Platforms and any other services provided by Urban Fox Networks, you trust us with your personal information and we take your privacy very seriously.

We seek to explain to you in the clearest way possible what information we collect, how we use it and what rights you have in relation to it. We hope you take some time to read through it carefully, as it is important. If there are any terms in this privacy policy that you do not agree with, please discontinue use of the Urban Fox Networks products and/or Urban Fox Networks Platforms.

2. What Information do we collect?

We collect personal information that you provide to us such as your name, address, contact information, payment information, your vehicle registration (where provided) in addition to charging information relating to your charging session.

We collect personal information that you provide to us when registering on the Urban Fox Networks Platforms, purchasing and using the Urban Fox Networks products or otherwise contacting us. The personal information that we collect depends on the context of your interactions, the choices you make and the products and features you use, and can include the following:

Name and contact data:We collect Biographical and Contact Data such as your name, email address, and other similar contact data.
Account credentials:We collect username, passwords, and similar security information used for authentication and account access.
Transaction data:We collect data necessary to process your payment if you make purchases, such as your payment instrument number (such as a credit card number), and the security code associated with your payment instrument. All payment data is stored by our payment processor Stripe Payment Services and you should review its privacy policies and contact the payment processor directly if you have a question relating to processing of payment data. Location data:Any time you use our Start a Charge feature or Map we collect your current location data. We do not store this data.
Charge data:Any time you use our Start a Charge we collect data relating to your charging session including the kwh of charge provided, tariff, time, location and cost
Financial:When you make a payment we pass the transaction information directly to Stripe Payment Services. Follow this link to see their Privacy Policy on their website.

3. For what purpose do we process your personal data?

We will process your personal data only when we have a lawful basis for doing so under applicable data protection laws (including the UK GDPR and the Data Protection Act 2018).

Our lawful bases for processing your personal data include:

  • Contract – where processing is necessary to provide our EV charging services and manage your account
  • Legal obligation – where processing is required to comply with legal or regulatory requirements
  • Legitimate interests – including fraud prevention, security monitoring and improving our services
  • Consent – where you have given clear consent, including for marketing communications where required

Where we rely on legitimate interests, we ensure that our interests do not override your rights and freedoms.

We process your personal data to:

  • Provide our products and services to you
  • Managing your account (including verification and processing payments)
  • Detecting and preventing fraud
  • Marketing

Where we send you marketing communications, we will do so:

  • Based on your consent where required; or
  • Under the “soft opt-in” where permitted by law

You can withdraw your consent or opt out of marketing communications at any time using the unsubscribe link in our communications or by contacting us.

Additionally, we may use your personal data for related secondary purposes, such as:

  • Storing, deleting, or anonymizing your personal data.
  • Conducting audits and investigations
  • Statistical and historical research.
  • Ensuring legal and/or regulatory compliance.

4. How long do we keep your information

We keep your information for as long as necessary to fulfil the purposes outlined in this privacy policy unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy policy, unless a longer retention period is required or permitted by law (such as tax, accounting or other legal requirements).

We retain personal data in line with the following general principles:

  • Account data – retained while your account is active and for a period thereafter where required for legal or operational purposes
  • Transaction data – retained for at least 6 years to comply with UK tax and accounting requirements
  • Marketing data – retained until you withdraw consent or after a defined period of inactivity

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise it, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

5. Who do we share it with?

Your personal data may be shared with:

  • Any company within our group for internal administrative needs, auditing, monitoring and research and development.
  • Our group companies may also access your personal data to support our services to you as our customer. We may share your data to offer promotions or inform you about EV charging-related products and services, based on your marketing consent preferences.
  • Authorised third-party agents, service providers, or contractors may also access your personal data, who may, in turn, transfer it to subcontractors.
  • When necessary to comply with legal or regulatory obligations or as permitted by local laws, we may share your data with public authorities, governments or other regulatory bodies.
  • Upon request from a party with a legitimate interest we may share your data after conducting an assessment to determine the appropriate information to disclose.

These may include providers of:

  • Payment processing services (e.g. Stripe)
  • Cloud hosting and IT infrastructure
  • Analytics and performance monitoring
  • Customer support and communications platforms

We ensure all third-party processors are subject to appropriate contractual safeguards.

6. What are your privacy rights?

We aim to keep our information as accurate as possible. You can request:

  • access to your personal data
  • correction or deletion of your personal data (but only where it is no longer required for a legitimate business purpose such as completing a retail transaction)
  • that you no longer receive marketing communications
  • that the processing of your personal data is restricted
  • combining of your personal data from different sources to create a personal profile no longer takes place
  • that you receive personal data that you have provided to us, in a structured, digital form to be transmitted to another party, if this is technically feasible

In some regions (like the EEA), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; and (iv) if applicable, to data portability. In certain circumstances, you may also have the right to object to the processing of your personal information.

If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. Please note however that this will not affect the lawfulness of the processing before its withdrawal.

If you are resident in the EEA and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority. 7. Contact Us and Complaints

We operate a formal complaints process for data protection matters. You may submit a complaint using the contact details above or via any other reasonable communication channel such as the website or mobile application.

We will acknowledge your complaint within 30 days of receipt and will investigate and respond without undue delay. We will keep you informed of progress and notify you of the outcome.

If you are not satisfied with our response, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO). Further information is available on the ICO website.

8. Transfer of personal data to other countries

We may store or transfer your personal information to other members of the Urban Fox Group including parent companies and entities outside of the UK. Where this is the case or where we transfer personal information to a third party, we will ensure that appropriate safeguards are in place, including the use of UK International Data Transfer Agreements (IDTAs), Standard Contractual Clauses, or transfers to countries deemed to provide an adequate level of protection to ensure that your personal information is protected in accordance with applicable data protection laws.

9. Data Subject rights

You have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) if you believe your data has been processed unlawfully. Further information can be found on the ICO website.

We will respond to your request within one month in accordance with applicable law.

10. Governance / Contact

We do not currently appoint a Data Protection Officer. However, we have designated responsibility for data protection compliance. If you have any questions about this policy or our data practices, please contact us using the details above.

11. EV / Location Data Transparency

Where we collect location and charging session data, this is used to:

  • Deliver charging services and enable functionality within the app
  • Improve service performance and network planning
  • Support reporting and operational requirements with relevant partners (including local authorities where applicable)

Where possible, such data is aggregated or anonymised.

12. Account information

You may at any time review or change the information in your account or terminate your account by:

  • Logging into your account settings and updating your account.
  • Contacting us using the contact information provided below.

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, some information may be retained in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our terms and/or comply with legal requirements.

Cookies and similar technologies: You can set your browser to refuse all or some browser cookies, or to alert you when the Urban Fox Networks Platforms set or access cookies. If you disable or refuse cookies, please note that this could affect certain features or services of the Urban Fox Networks Platforms which may become inaccessible or not function properly.
